Dear 1998 IRPS Author:
Once again, congratulations on being selected to present your work at the 1998 Symposium! I am writing to provide you with some important information regarding your presentation and activities at the symposium.
Speakers Breakfast.
First, I would like to invite you to attend a Speaker Breakfast at 6:45 a.m. on the morning of your presentation in the Crystal 5 Room of the Reno Hilton Hotel. During that time we will go over last minute items along with the protocol of the presentation. It is critical that you attend this meeting, and your presence is required.
A/V Review & Poster Preparation.
We will hold an A/V review of the next day sessions the evening prior to your presentation in the Crystal 5 Room for the A sessions, and Crystal 4 Room for the B sessions. It is a requirement for each author to attend this review, so please arrive in Reno in plenty of time to attend this event. Please bring the following with you:
1.) A copy of your presentation on floppy disks or Zip disks
2.) A black and white hard copy of your visuals
3.) Your poster presentation materials (described below)
If you speak on Tuesday, the Monday evening A/V review and poster preparation will begin at 5:00 p.m., immediately after the conclusion of tutorials. If you speak on Wednesday or Thursday, we will begin at the end of prior day technical sessions (approximately 5:20 p.m. on Tuesday, 5:45 p.m. on Wednesday, and 4:00 p.m. on Thursday). During the review and poster preparation, you will be setting up posters in preparation for the Author Corners, then previewing your presentation in the context of your entire session.
The Author Corners is a unique aspect of the IRPS, and we have found that the greatest audience interaction occurs here. All authors are required to stand by their poster display at the session break and again at the end of their session for at least 10 minutes to speak one-on-one with interested members of the audience. Your posters should contain, at a minimum, the contents of your visuals, and can also be used to present additional information to augment your presentation. If you present material not included in your manuscript, bring copies of the additional material to hand out at the Author Corners.
During the A/V review, we will preview your presentation in the context of your entire session. This will allow you to get acquainted with the projection system we are using at the conference, as well as give you time to ask questions about the presentation. Both your session chair and I will be present at the A/V review and at the speakers breakfast.
